Receptionist / Administration Assistant

The Lucid NT Administration Assistant position is a new role, created due to the successful establishment and growth of our Darwin office. As such, the role will require a candidate who is willing and able to carry out a broad range of tasks with initiative, resourcefulness and commitment to Lucid’s values. The candidate will require the ability to operate without direct supervision or support, however, effective communication with head office in Adelaide will also be required.

The Lucid NT office currently has 5 staff and is likely to have 8 staff (engineers and drafters) within the next 6 or 8 months.

The nature of the role is such that a variety of tasks will need to be fulfilled. These tasks can generally be described under headings of administration support, financial control and client liaison. In more detail, the specific tasks would include the following:

Administration Support

  • Personal Assistant to Regional Manager;
  • Managing NT project details and billing/costing information using our practise management system, "Total Synergy" database;
  • Word processing as required (reports, letters, specifications drafted by engineers);
  • Arrangement of couriers to collect documents to be issued;
  • Incoming mail (opening/stamping/recording/distribution);
  • Outgoing mail (including labels, purchase of stamps/recording);
  • Assist drafting staff with document issues, including collating/stamping/binding of specifications and drawings.

Financial Control

  • Accounts Receivable Management, including invoice preparation, incoming payment processing and debtor management/liaison;
  • Liaising with Accounts Department in Adelaide;
  • Banking.

Client Liaison

  • Answering incoming landline telephone calls;
  • Management of office administration resources such as client information database, stationery;
  • Management of office amenity requirements, including refreshments for clients attending meetings and stocking of consumables.

Due to the rate of growth of our NT office and our group as a whole, progression opportunities are envisaged in both the role and remuneration.

The remuneration package would be consistent with the current clerk award, plus superannuation and bonuses. Other conditions are as follows:

Conditions

  • Profit sharing is undertaken by Lucid and provides the opportunity for staff to be rewarded in addition to the base salary above, pending company and individual performance. Bonuses are usually distributed 6 monthly in June and December.
  • Further reviews will be carried out on an annual basis. All information relating to salary and profit sharing is to remain confidential between the employee and the Directors.
  • In addition to the base salary payable to you and according to the Superannuation Guarantee Act, Lucid agrees to pay 9% of your base salary to your selected superannuation fund. The majority of our staff nominates the Australian Retirement Fund.
  • A three month probation period would be applicable. A brief review will be carried out after 3 months to enable 2-way feedback on your performance and your perceptions of the role.
  • Four weeks annual leave taken at mutually agreed times. The office closes for a period of generally 2 weeks during the Christmas period, and this is taken as part of your leave.
  • You will be required to comply with any Lucid policies which are adopted by the Company and are brought to your attention from time to time.
  • Expenditure necessarily and reasonably incurred by you in the performance of your duties will be reimbursed upon production of receipts, or other documentation to the satisfaction of Lucid. Approval must be sought from one of the Directors prior to expending funds on behalf of Lucid.
  • Sick Leave - You are entitled to 10 days sick leave per annum. No payment is made following termination for unused sick leave.
  • An employee who is too ill to attend work is required to inform Lucid as soon as practicable prior to the normal starting time, of inability to attend work, the nature of illness and expected duration of absence. Lucid requires a medical certificate for absence of more than one day to be submitted with the relevant timesheet.
  • You are entitled to long service leave in accordance with the provisions of the Long Service Leave Act 1987.
  • You are entitled to take public holidays as gazetted from time to time by the Northern Territory Government.
  • Travel allowance for use of private vehicle for business purposes is paid by Lucid at the rate of 70 cents per km (in accordance with Lucid’s Travel Policy 009). Details of associated mileage are to be included with timesheets submitted on a weekly basis. You will be required to use your own vehicle for site visits as necessary.
  • General office hours are 8.30am to 5.00pm, with one-hour lunch break, which is flexible providing a minimum of 40 hours a week is achieved. There would however be some instances when additional work is required beyond these times in order to meet agreed project deadlines or to achieve a more beneficial outcome for the office. Flexibility would be required in this regard. Payment for overtime is not applicable in this position.
  • Timesheets are kept up to date on a daily basis and are to be submitted weekly (by 5pm each Friday).
  • Standard legislative employment and termination conditions are applicable in all instances not specifically mentioned above.

Engineers
